How do you price your programs?

Last Updated: February 2025

Overview:

We have a variety of pricing methods available for your programs and events so you can create the right pricing structure needed for each of your offerings. This article goes into detail about our different pricing methods, so make sure you take your time to learn about each option and how they might best suit your needs.

Please note: In order to book a room with your pricing, you will need to use Lodging based pricing - click the highlight below to jump to that option if you need!

When configuring a program, the following pricing methods are available:

To Begin

Go to Programs > (choose a program to edit) > Pricing > Pricing Options to choose a pricing method for your program.

Some of the methods described in this article are available only with certain software subscription plans. Not sure if your center qualifies? Ask your friendly support guru.

Free

The most common use of the free pricing method is for application forms - volunteer programs and events, scholarships, and more.

By default, no payment is required when a person registers for a program configured with the free pricing method - the payment fields will be hidden for free programs.

However, if you wish to accept donations or allow the purchase of optional items on your free program, you may Enable Payment.

When payment is enabled for your free program, the payment section will appear on the online registration form.

The sample online registration form shown below for a Scholarship Application has payments enabled so that a donation amount can be accepted.

Simple, multiple

To offer registration choices, perhaps at different price levels, use the Simple, multiple pricing option.

In this area, you are also able to set the maximum quantity for each pricing option.

This pricing method includes the Package Builder feature which is available to all SaaS plans. Click here to learn more about Package Builder.

Please Note: You can only get access to maximum quantity for Simple, multiple pricing when the program is a Fixed Date program.

Example of Simple, multiple on a Fixed Date program:

Here is a more detailed example for you to review as well:

In the 4-Day Program example shown above we set a base program price of $250 and the price for meals at $150 per day.

Anyone registering will pay $250 + 4 x $150 = $850 as the base portion of the overall cost, plus their choice of registration package.

As shown below, if a person selects Registration package - PATRON Level, they will pay $1850 total.

Don't see the package builder feature enabled in your software? Ask your friendly support guru.

Suggested donation

If you offer registration by donation or on a pay-what-you-can basis, select the suggested donation pricing method.

Suggested Donation means that you recommend a payment price or price range, and the person registering pays whatever they want, including nothing at all.

  • You can determine your own amounts - $50 to $100 is only an example
  • You can add a single suggestion in the first field
  • You can leave both areas empty for no suggestion

Sliding scale

The sliding scale pricing method is similar to the suggested donation pricing method, but instead of allowing a person to enter any amount, the sliding scale pricing method restricts the accepted dollar entry within a pre-set range.

Enter a low and high price range above to enable sliding scale pricing where a person can choose their own price within the range you define.

For example:

  • $50.00 to $99.00 sliding scale price would allow a person to enter any number between and including $50 and $99. If I selected the $50 to $99 sliding scale price, I could not enter $150.

You may assign a value of $0.00 to minimum, maximum, or both fields to allow for minimum prices, maximum prices, or to allow people to set any price.

For example:

  • If you configure a $100.00 to $0.00 sliding scale range, the person would be required to enter at least $100 (minimum).
  • If you configure a $0.00 to $0.00 range, the person could enter any amount (no minimum or maximum).

Multiple sliding scale prices are also possible.

The image above includes the Attendee price range which we have configured as free, no cost. So in this example, a person could register without paying any amount.

Lodging based

For programs that include an overnight stay, you will usually choose the lodging based pricing method. This pricing option is what is required to book a room.

In the 4-Day 3-Night Program example shown above, we have set tuition at $250 and the price for meals at $150 per day.

Anyone registering will pay $250 + 3 x $150 = $700 as the base portion of the overall cost, plus their choice of lodging.

As shown below, if a person selects Guest House Suite, they will pay $1585 total.

The package builder feature is available only with certain software subscription plans. Not sure if your center qualifies? Ask your friendly support guru.
