Summary of new pricing tab changes

We've rebuilt the Pricing tab from the ground up. The concepts you already know (lodging pricing, flexible pricing, extra nights) are all still here, but the UI has been upgraded, some things have been moved around, and some functionality has been improved.

Transition

No action is required, the update will roll out automatically. Your existing programs will continue to work exactly as they do today. When your account moves to the new Pricing tab, your current prices, discounts and transaction category settings will be carried forward automatically — the sections below on extra nights and seasonal pricing explain the few edge cases worth knowing about.

1. The four pricing types

The original 5 pricing options have been reduced to 4: Lodging, Flexible, Free, and Pay what you can. Here’s a quick overview of the 4 options:

Lodging pricing

Lodging pricing table

Instead of displaying all lodging types on every program, in the new UI, the table begins empty and the ‘Manage lodgings’ button is used to select which lodging types belong to this program. The kebab menu in the right column is used to either edit or remove selected lodging types.

Additional columns have been added to the lodging pricing table and you can choose what's visible via a column-selection menu. Available columns include the lodging's image, occupancy type, max capacity, base price, description, transaction category, hotel price, and — where those features apply to your account — weekend price, season prices, and extra-nights price. Show what's useful for a specific program and hide the rest.

Lodging edit pop up

Editing has moved from typing directly into the table to a focused pop-up window, opened from the kebab menu.

Name and category are independent of price

You can now customize a lodging type's display name or its transaction category for a single program without touching its price at all — the three used to be bundled behind the same "modify" checkbox, and now each can be customized independently.

The pencil and the back arrow buttons

Look for two small icons next to anything that can be customized for a specific program: a pencil means the value is currently following the global default, and clicking it lets you override the setting for any individual program. Once you've customized it, the pencil is replaced by a back arrow — click that any time to reset to the default. This same pencil-and-arrow pattern shows up wherever a program-specific override is possible, not just for lodging prices.

The orange dot

When anything about a lodging type has been customized for this program — its name, category, price, or extra-night price — a small orange dot appears next to it. Hover over the dot and it shows you the original, global value.

Modifying lodging pricing

Previously, you could modify the Person 1 price, but still have other per person prices synched with lodging edit. In the new version, once you’ve modified the prices, you’re modifying them for everyone.

Seasonal pricing

The feature to ‘Modify the season pricing per room type within a program (optional setting)’. has been removed — everyone can now customize a lodging type's price for a specific program, whether or not Seasonal Pricing is enabled on your account.

If a lodging type has seasonal pricing configured and you override the prices — the seasonal rates will no longer be in effect. The same is true for weekend pricing. If you want seasonal or weekend rates to be active, you must keep the pricing synched to the default values set in Lodging Edit.

Extra Nights

Extra-night pricing can now be set per person. The prices by default, simply follow whatever nightly price applies to that lodging type. If a lodging type needs a custom extra-night price, you can override it — and because the override lives on the lodging type itself, different lodging types can each have their own extra-night price.

The "discount on extra nights" setting has been removed. If you were using it, your participants will keep paying what they pay today: we've converted your existing discount into the equivalent fixed extra-night price for each lodging type. Going forward, if you need to change an extra-night price, you'll do it directly on the lodging type in the new pop-up editor instead of via a percentage discount.

The "use prices from lodging type" vs. "use prices from this program" setting has also been removed. Extra nights pricing now follows the lodging pricing (either default or customized). Alternatively, the prices can be manually overriden on each lodging type.

Flexible pricing table

Flexible pricing line items can now be configured as single price or a range (previously Simple/Multiple and Sliding Scale). Because Sliding scale is part of Flexible pricing now, you can mix both types in the same program, one option can be at a fixed price, another as a range and a program could have more than one of each.

Multi-person registration now works with range pricing

Previously, if you used the standalone Sliding Scale pricing type, participants could only register one person at a time. Now that ranges live inside Flexible pricing, we’re able to support multi-person registration.

Free pricing table

Free programs no longer have any settings on the Pricing tab — it's just a plain notice that the program is free and no price will show on the registration form. If you previously used the Enable Payment checkbox on a free program (for participants to buy optional items or make donations), you’ll see that you can now toggle pricing on/off below on the Pricing tab.

Pay what you can pricing table

This is the type formerly called Suggested Donation. The idea hasn't changed, participants can pay whatever they choose, including nothing, but how you communicate a suggested amount has. There's no longer a separate "suggested low / high" number field. Instead, you write the suggested amount directly into the Description field, in your own words, the same place you'd add any other note for registrants.

If you currently have a suggested range set, it will be carried forward as a sentence in the description automatically (for example, "Suggested amount: $100 to $1000".

Optional items

You can now drag and drop to reorder optional items within a program, and the order you set is exactly the order registrants see them on the registration form. Previously, optional items followed one shared order across every program, set within the Optional Items list — so reordering an item for one program could shift its position everywhere else it was used, too. Now each program controls its own order independently.

Payments

For centers using Installment Payments, you’ll notice the Installment Payment section has been removed and instead replaced with a setting to ‘Collect balance due - manually or installments’. When ‘Installments’ is selected, you’ll see the configuration options will appear.

Transaction categories

A few of the old account-wide transaction category overrides have been replaced with more precise, item-level controls.

Lodging: set per lodging type

You can now set a transaction category for each lodging type individually, right in its edit pop-up. Previously this was a single setting that applied to every lodging type in a program at once.

Flexible pricing: set per option

Each priced option under Flexible pricing can now have its own transaction category. Previously, one program-wide setting applied uniformly to every option, so there was no way to categorize two different options differently.

Add-ons: override removed

The old account-wide transaction category override for add-ons has been removed. This wasn't being used by any centers, so there's no change in practice — an add-on's transaction category is still set on the item itself, exactly as before.

Extra Nights: override changed

By default Extra Nights will use the default extra-nights category. For centers that needs more customization, we’ve added a new feature toggle in Settings that will add two options within program edit:
