Consolidate participant registrations for a program under an Event Group Leader's master registration.
This Event Group Leader feature is available only with certain software subscription plans. Not sure if your center qualifies? Ask your friendly support guru.
Your rental clients or other group leaders may wish to cover some or all of their participants' costs.
For example, Paul rented meeting space at your center for his Mycology of Consciousness private program. He will pay for accommodations and meals for members of his group and wants to receive a single invoice for all.
No problem! It's easy with the Event Group Leader feature.
Create a registration for the event group leader
Use the Quick add reg feature to create Paul's registration. This will allow you to create the registration by entering only a few basic fields - not requiring payment, and not sending the automated registration confirmation email.
This registration will become the master registration for the event - Paul will be the event group leader.
Configure the program to recognize the event group leader
Go to Programs > (choose a program to edit) > Advanced > Event Group Leader. and select Paul - the registration we just created - as the event group leader. And, update.
New registrations for the Mycology of Consciousness program will be grouped under Paul's master registration (as the event group leader).
Transactions entered by participants during their initial online registration will be automatically moved to Paul's registration (as the event group leader). These transactions will appear on Paul's guest statement, not on the individual participants' guest statements.
However, transactions by a participant after their initial registration will appear on that participant's guest statement.
Open registration for participants
When Chantelle Chanterelle registers for the Mycology of Consciousness program, the transactions on her initial registration will be automatically moved to Paul's master registration.

Special notes about participant transactions
All transactions on the initial registration will be moved to the event group leader.
You may wish to disable payment for participants so that they are not required to enter credit card information during registration. Go to Programs > (choose the program you wish to edit) > Pricing > Registration Options.
Or, you may wish to collect credit card information from participants so that you can charge transactions completed after their initial registration to the participant. For example, the event group leader may pay tuition, meals, and accommodations on behalf of the participant, but may not wish to pay incidental expenses like gift shop purchases and snacks.
If you do require credit card info from participants, configure the Deposit setting for the program as People pay the total only. Go to Programs > (choose the program you wish to edit) > Pricing > Deposit.
Activating the event group lead feature will have no effect on transactions completed by the participant after their initial registration. If Chantelle buys a chocolate cookie on day two of the program, the cost of the cookie will be applied to Chantelle's guest statement, not to the event group leader's statement.
